Payroll

There's more to paying employees than passing out paychecks. Payroll is actually a 4-step process, and each step has dozens of tiny tasks associated with it. Patriot HR can automate this process to reduce errors, cut your company's payroll costs, and save your company time.

Step 1: Time and attendance
Payroll doesn't start with a calculator and printer. It starts with a time clock or Web interface collecting employee hours. If your timekeeping system doesn't send hours to your in-house payroll system or your payroll provider, someone is wasting time collecting hours and calculating pay based on those hours. Patriot HR's timekeeping system, Patriot Time™, automatically posts hours to online timecards so that all your staff has to do is approve timecards to submit payroll to Patriot HR.

Step 2: Paycheck adjustments
Once pay is calculated, adjustments must be made. Taxes, benefits contributions, and other deductions must be subtracted. Wage garnishments (court-ordered paycheck withholdings for unpaid child support, taxes, etc.) also must be deducted in accordance with state and Federal laws, which can vary based on the type of garnishment and where the employee lives. Expense reimbursements must be added. Calculating and tracking these adjustments is time-consuming and error-prone. Patriot HR's automated system automatically calculates payroll according to your company's policies and applicable laws, saving your staff time and reducing the chance for human error.

Step 3: Cutting paychecks
After your staff has collected hours worked (either with your own timekeeping system or our Patriot Time timekeeping system), they can make last minute adjustments online, and then send us into action! We will calculate your payroll, print, sort, and send paychecks to multiple work sites, saving your company time and overhead costs (e.g., paper, equipment, labor, etc.).

Step 4: General ledger
Everyone has received their paychecks, so your staff can take a break, right? Not so fast! How does all of the information get into your general ledger? If your company is like most, the information is probably entered manually or kept in spreadsheets. With Patriot HR, the information can be imported directly from our payroll department to your general ledger.

Our payroll services also include:

  • Calculating and remitting employer taxes (e.g., Social Security, Medicare, Unemployment)
  • Handling annual state and federal tax reconciliations.
  • Filing quarterly and annual payroll reports.
  • Distributing W-2s to employees.
  • Verifying your employees' employment information (hire dates, titles, etc.) for outside agencies (e.g., mortgage companies, courts, other employers, etc.).
  • Setting up direct deposit for employees.
